Take demonstrable action based on what you 'heard'

Review the results, categorize the input/feedback, and communicate next steps to build preference with your team!

It's been said, "The worst thing a leader can do is ask their team for input and feedback ... and then do absolutely nothing with it!"

For long-term success, we highly recommend you establish a process for closing the loop with your POPin session participants. Using a consistent process for 'session close out' will fast path your efforts and signal that you are indeed 'listening!'

This doesn't mean you have to act on every thought/feeling submitted. After all, time and budget do have constraints. So, when the answer to a submission must be 'no,' just be clear in stating WHY. Your team will appreciate your honesty. At the end of the day, participants want to know you care about their concerns and will take action to address valid issues. Be the leader/changemaker who listens, and your team will be unstoppable.

Here are some quick tips for creating a 'session close out' process:

Tip 1: Set expectations before the session.

We've seen leaders and change makers communicate before each POPin session that they will be building action plans for only the Top 'X' responses. Then, all of their follow-up communication sounds like, "I am addressing what's most important based on the POPin we ran...". This encourages the right voting and engagement behavior with participants, as well as shows that you take their input seriously!

Tip 2: When your POPin ends, download your report to help you review the results.

Tip 3: Categorize the results for action planning.

To navigate the work that needs to be completed once you have input and/or feedback on an important topic, it can be helpful to categorize the responses.

  1. Quick Wins - Fast and easy to deploy.

  2. No's - Suggestions that aren't possible (always explain why!).

  3. Dig Deeper - Require additional discovery and/or problem solving.

  4. Strategic Actions - Big opportunities requiring high-levels of time and effort.

From here, you can plan thoughtful follow-up POPins and/or working sessions.

Tip 4: Always communicate next steps.

Have you ever spent time and energy working on something, only for it to go into a 'black hole?' It's frustrating and you start to think, "Why bother?" Don't let this be the case with your team members!
