Use this article to learn about the methods for managing POPin session access.

When you are setting up a Crowdsource or Survey POPin, you'll have the opportunity to establish participation access settings. Specifically, you'll need to decide if the session will be ran as Unrestricted, Restricted, or Private.

A key note: Anonymity for participation is a separate setting. Unrestricted sessions default to Anonymous, whereas Restricted and Private sessions can be set to either Anonymous or Named. Check out our Is POPin really anonymous? article for more info on these options.

Unrestricted

This access type does not restrict participation or require log in. Rather, you'd simply copy and share your session link (via email, intranet, etc.) during your session creation process to give your targeted audience immediate access. Participants just click the link and access the POPin. Easy, peasy!

Considerations:

  • Unrestricted sessions are great when you're inviting people from multiple organizations to 'the conversation.' For instance, maybe you're seeking feedback from customers or a cross-functional group of people employed by various companies whom are tasked with helping you deliver on a project.

  • Unrestricted sessions allow anyone with the session link to access the POPin. As such, if the link is forwarded, the recipients can participate.

  • There is typically less 'user support' required with this method. (e.g., "Why do I need to enter my email address? You said my feedback was anonymous..." or "Why can't I access this POPin?")

Restricted

This access type allows you to restrict participation to people in your organization—people working on your approved POPin email domains (which is defined as part of your POPin account set up).

You'd use the same process as when setting up an Unrestricted session: Simply copy and share your session link (via email, intranet, etc.) during session creation to give your targeted audience access. The difference is that when participants click the link, they'll need to enter their email address on the Sign In screen so the app can verify they belong to your organization (a.k.a. approved domains).

Considerations:

  • Restricted POPin sessions are helpful if you're concerned about people outside your organization (or defined domains) getting access to the session.

  • Using this type of participation setting allows for segmentation in the session results/reporting.

  • Your restricted POPin session can be accessed by anyone in your organization if they have the link. They just need to enter their email address and then either enter their existing POPin password (if prompted) or verify their email address by way of email prompt (applicable based on account status).

Private

This access type allows you to restrict participation to specific people by entering email addresses during the POPin creation process. In order for someone to participate in the session, you would need to enter their email address AND they will need to log in with that same address.

When Private POPin sessions are created, there is an additional screen presented after clicking 'Save & Preview.' In this screen, you'll add your target participants' email addresses. Then you'll either send a Customized Message to the entered addresses, or you'll copy and share your session link via your preferred platform (via email, intranet, etc.).

Considerations:

  • Private POPin sessions are helpful if you're concerned about people outside your target audience getting access to the session. This may be most appropriate for sensitive topics.

  • Using this type of participation setting allows for segmentation in the session results/reporting.

  • Your private POPin session participants will need to enter their email address and then either enter their existing POPin password (if prompted) or verify their email address by way of email prompt (applicable based on account status).

Even when participants need to access a session by entering an email address and password, their responses can still be posted anonymously if you set up the session to be Anonymous vs Named.
